2. Information We Collect and Store (USA & Canada)
To provide a streamlined experience, we keep data collection to a minimum. For users in the United States and Canada, the following information is securely stored:
A. Information You Provide
- Account Data: Name (optional), email address, and phone number (solely for account verification and security).
- Administrative Communications: Information shared when therapists contact our operational team or support staff via the platform dashboard.
B. Usage Data (Limited & Anonymized)
We use restricted, privacy-focused analytics to improve platform performance. This includes:
- Device and browser type.
- General, non-precise location (e.g., city/state/province level).
*Note: We do not collect personally identifiable information (PII) or Protected Health Information (PHI) through our analytics tools.*
3. What We Explicitly Do NOT Collect
To protect your privacy and simplify your journey, VENTii intentionally avoids collecting:
- Pre-assessment forms or clinical histories.
- Content of therapy sessions, chat logs, or voice notes.
- Personal mental health inputs or therapist-user session notes.
Your sensitive experiences are end-to-end protected and are never monitored or analyzed by our operational team.
4. HIPAA & PIPEDA Compliance
We adhere strictly to North American privacy frameworks:
- HIPAA (United States): VENTii implements administrative, physical, and technical safeguards required by the HIPAA Security Rule to ensure the confidentiality, integrity, and availability of all electronic Protected Health Information (ePHI) that passes through our infrastructure. We enter into Business Associate Agreements (BAAs) with healthcare providers where required.
- PIPEDA (Canada): We comply with the 10 fair information principles of PIPEDA, ensuring that any personal information collected from Canadian users is gathered with consent, used strictly for stated purposes, and protected with robust security safeguards.
5. Encryption & Data Security
We utilize enterprise-grade security protocols to protect your data against unauthorized access, alteration, or destruction:
- Encryption in Transit: All data transmitted between your device and our servers is encrypted using TLS 1.2 (Transport Layer Security) or higher.
- Encryption at Rest: All data stored on our servers, including account databases and backups, is encrypted using AES-256 (Advanced Encryption Standard).
- Access Controls: Access to our backend infrastructure is strictly governed by role-based access control (RBAC) and multi-factor authentication (MFA), ensuring only authorized personnel can manage the system.

- Secure Infrastructure Providers: Trusted hosting and communication services required to run the platform. These providers are bound by strict confidentiality agreements and, where applicable, BAAs.
- Legal Authorities: Only when legally compelled by a valid subpoena, court order, or similar legal procedure, and strictly limited to the required scope.
We will never sell or rent your data to marketing firms, data brokers, or advertisers.
